Which Task Should I Hand to AI First? A 15-Minute Check for Busy Owners

Don't start with your whole business. Start with the one task that's easiest to hand off and most annoying to keep doing.

Quick answer. Hand AI a task you do at least every week, that follows roughly the same steps each time, that you can explain in a few sentences, and that a person will check before it goes out. Good first picks are replying to common questions, drafting follow-up emails, turning notes into a to-do list and writing social captions. Leave anything involving private data, legal or money decisions for later.

The most common mistake with AI isn't picking the wrong tool. It's picking the wrong first task.

Ask AI to "help with marketing" and you'll get something vague. Ask it to "write this week's three Instagram captions about our Saturday class, in our friendly tone, under 50 words each" and you'll get something you can use. The difference is the task.

Here's a quick way to find the right one. Set a timer for 15 minutes.

Step 1: List what you did by hand this week (5 minutes)

Open your calendar, email and to-do list. Write down every task you did more than once. Don't judge them yet. Just list them.

Common ones for small businesses and ministries:

  • Answering the same customer or member questions
  • Writing follow-up emails after calls or inquiries
  • Writing social media posts and captions
  • Turning meeting notes into action items
  • Writing reminders, announcements or newsletters
  • Summarizing long emails or documents

Step 2: Score each task on four questions (7 minutes)

Give each task one point for every "yes."

  1. Repeats: Do I do this at least every week?
  2. Same steps: Does it follow roughly the same steps each time?
  3. Easy to explain: Could I explain how to do it in a few sentences?
  4. Easy to check: Can I quickly read the result before it goes out?

A task that scores 4 is a great first AI employee. A 3 can work. Anything lower, save for later.

Step 3: Cross off the ones to save for later (3 minutes)

Even if they score well, skip these as a first task:

  • Private information: anything that needs customer, member, health or payment details
  • Big decisions: legal, financial or hiring decisions
  • Final say: anything that goes out with no one reading it first

You can bring AI into some of these later, with the right tools and rules. They're just not where you learn.

Step 4: Write your winner in one sentence

Finish this sentence: "Every week I spend time ___, and I want AI to draft it so I can review it."

For example: "Every week I spend time replying to people asking about our class times and prices, and I want AI to draft those replies so I can review them."

That sentence is the start of your AI employee's job description. In the step-by-step guide, it becomes the role, the steps and the examples you give AI.

Why one task beats ten

When you start with one clear task, you learn how to give instructions, how to check the work and how to fix what's off. Once that task runs smoothly, the second one goes faster. That's how an AI employee grows: one job at a time.

Brittney's Take

This is the homework I give before every Build Your First AI Employee workshop: bring one task you're tired of doing by hand. When 400 people registered for the September workshop, the goal was the same. Leave with one real task handed off, not a list of ideas. If you do this 15-minute check before October 24, you'll walk in ready to build.

Try This Today

  • Set a 15-minute timer.
  • List every task you did more than once this week.
  • Score each one: repeats, same steps, easy to explain, easy to check.
  • Cross off anything with private data, big decisions or no one reviewing it.
  • Write your winner in one sentence and bring it to the October 24 workshop.
